GODORT Social Media, Outreach, and Technology Committee

ALA Drupal Training

All committee members should complete the ALA Drupal Basics and Beyond training to gain editing privileges for the GODORT site. Names of new committee members should be submitted by the committee chair to help@ala.org and our ALA liaison (currently Danielle Ponton, dponton@ala.org).

Advanced permissions are necessary to edit content on the GODORT landing page, including navigation menus, slideshow, navpods and tab groups. At least one committee member should complete the advanced training. (More than one is recommended.) 

Once editing permissions have been granted, changes to the web site can be made by logging into the ALA site.

Basic Editing

The GODORT web site can be edited by visiting https://www.ala.org/godort/. Login using your ALA username and password. Web editing privileges are tied to your ALA account. The Drupal menu bar should appear at the top of your browser window. Once you have logged in, navigate to the page that you want to edit. Then click on the 'Edit' tab in the main content portion of the page.

For example, to make a change on the Education Committee page -- navigate to https://www.ala.org/godort/educationcommittee. Then click on the 'Edit' tab:

The "Edit Basic Page" form will open with a rich text editor. Use the options in the top bar to format text and create links. Hovering over an icon will tell you what the option does.

Once the edits have been made, scroll down to the bottom and click on save. Once saved, the page is automatically published.

 

 

Adding Files

To load a new file onto the website, the first step is to navigate to the page where you will be linking to the file. 

For example:

To upload the latest minutes from the Steering Committee, open the minutes page in a browser (https://www.ala.org/rt/godort/minutes). Click on the Edit tab to launch the "Edit Basic Page" form. Scroll through the content until you get to the place where you want to link to the file and use the text editor to type in the new date (e.g. 2020 Annual). Highlight the text and then select " Link" in the tool bar. Now it will give you the opportunity to load a file. 

Click on the "Browse Server" button.

  

A file browser will pop up. Use the pane on the left to navigate to the GODORT directories. Then double click the folder/directory where you want to upload the file (in this case it would be godortminutes/steering)

Once you have selected a directory, click on the "Upload" button in the top toolbar (upper left).

 

A box will open that lets you select a file from your computer. Once your file has been uploaded select the file name on the right pane and then click "Insert file" in the top toolbar (upper right). That will complete the linking process.

File Naming Conventions

All content added to the GODORT web pages will have file names that relate to the content and allow for easy maintenance.

Directory (current): http://www.ala.org/rt/godort/directory

  • When the current year is over, this file will be renamed with the years that it covered and linked from the Past Directories page.
  • Example: directory becomes 2019-20-directory

Past Directories: http://www.ala.org/rt/godort/past-directories

Resolutions: http://www.ala.org/rt/godort/resolutions

Minutes

Minutes will be uploaded to the GODORT web site as a PDF format document

The correct file naming for GODORT is: abbreviation or name as listed below_(underscore)YYYYMMDD_(underscore)meetingminutes or annualminutes or midwinterminutes.pdf

  • example: technology_20200819_meetingminutes.pdf

Each committee's minutes have a unique directory/folder

Bylaws = bylaws

Creating New Content

New pages can be added to the website by clicking "Add Content" in the upper left of the Drupal menu:

Choosing "Basic Page" will pull up a form where you can enter in a title and a web editor for your content. Before saving the page make sure to fill out the URL settings and the taxonomies section.

In the URL settings, create a custom alias that begins with "godort" + the desired page name for example:

godort/HelpWebinars
will end up with this url: https://www.ala.org/rt/godort/HelpWebinars

In the Taxonomies tab under ALA units use the + sign to add Government Documents Round Table to your page. This is also the place where you can restrict access to content if need be.

Once the page is saved, it is automatically published on the ALA site. 

Slideshows: How to add and manage slides

Advanced permissions are needed to manage and create new slides for the front page.

Creating a new slide

First create an image to promote an event or new content. The image should be 720 pixels wide by 268 pixels tall and saved as a .png. A template is saved on the Tech Committee Google Drive and within this LibGuide.

Next click "Add Content" on the ALA site, and choose "Feature Slideshow Slide."

Upload the image and add in the link that you want to share. Make sure to set the Taxonomy to Government Documents Round Table and Save.

Managing the slideshow

In the Drupal menu choose "Find content by round table tag." Use the drop down menu to select Government Documents Round Table, set the Type to "Feature Slideshow" and click "Apply." The slideshow from GODORT's main page should appear in the list below. Click on edit to manage the slideshow. Use the Feature Slide section to add, delete and rearrange the slide order. Once changes are complete, save the file.

If the new slide does not display,  click on Clear Cache in the Drupal menu and refresh your browser.
