File Naming Conventions

All content added to the GODORT web pages will have file names that relate to the content and allow for easy maintenance.

Directory (current): http://www.ala.org/rt/godort/directory

  • When the current year is over, this file will be renamed with the years that it covered and linked from the Past Directories page.
  • Example: directory becomes 2019-20-directory

Minutes

Minutes will be uploaded to the GODORT web site as a PDF format document

The correct file naming for GODORT is: abbreviation or name as listed below_(underscore)YYYYMMDD_(underscore)meetingminutes or annualminutes or midwinterminutes.pdf

  • example: technology_20200819_meetingminutes.pdf

Committee Abbreviations/Name

Each committee's minutes have a unique directory/folder

Bylaws = bylaws

Cataloging = cataloging

Consolidated = consolidated

GOOGLE and GMAIL

The GODORT Technology Committee's GMAIL account is GODORTtechnology@gmail.com. This account is used to communicate changes to the GODORT pages, submit committee meeting minutes, and any other concerns to the committee.

LOGIN

The Technology Committee Chair is the keeper of the login password and shares this with committee members. Other committee members share responsibility of maintaining the Gmail inbox and other content saved in the committee's Google drive.

SECURITY

Google's security requirement for access is to enter a code sent to the account owner's email or phone. Committee members arrange a time to access the site so that the chair can send them the access code. This must be done for each device used to access this Google account.   

DELEGATES

All committee members are made "delegates" of the Gmail account. This allows them to access and post email from any device without the need of verifying the device with a security code.

GOOGLE DRIVE

The Google account also contains the working documents of the committee.

CONTINUITY OF ACCESS

The outgoing committee chair will transfer the recovery phone number for this account to the new committee chair at the beginning of the new chair's term (generally after ALA Annual).

 

Terminology

Delegate - A status given to someone other than the primary owner of a gmail account in order to allow this person access to send and receive email from the owner's gmail account.

Directory - Listing of all GODORT leadership, committees, taskforce, and interest group members. The Directory is updated yearly after the Annual meeting when new members are selected.

Minutes - Each committee, taskforce, and interest group documents each meeting. At a minimum, the minutes for the Midwinter and Annual meetings are added to the GODORT website. The Technology committee recommends that all meeting minutes be posted to the GODORT minutes' page.

PPM - The GODORT Policy and Procedures Manual is updated based on need. The GODORT Steering Committee approves changes when necessary.
